Starting a Zoom Meeting (Web Conference)

Zoom is a free to use instant messaging and web conferencing tool used by Athens State University for students, staff, and faculty to quickly and easily communicate back with one another.  Zoom meetings (web conferencing) using free accounts are limited to the number of possible participants and the duration of the meeting.  For specifics on these limitations, please see Basic (Free) Plan under the Zoom Pricing site.  The free account is ideal for various situations including impromptu meetings, student advising, and virtual office hours.

You will need to have installed the Zoom Instant Messenger and started an instant message with a contact in order to start a Zoom Meeting.  Once you have completed the above two requirements, you can start a Zoom Meeting by completing the following steps (make sure you have a microphone and webcam plugged in prior to starting the meeting):

NOTE: It is recommended that Athens State faculty and staff ALWAYS initiate any Zoom Meeting when working with students rather than joining one a student may initiate.

  • Open the Zoom Instant Messenger tool and login. Begin a chat with the contact you want to start a Zoom Meeting with.

  • At the top of the chat window, click the “Meet” button with the video camera icon next to it. (see image below)

  • Upon clicking the “Meet” button, a web conference room will automatically launch and place the two individuals in the room. You will be prompted to test your microphone and webcams upon entering.  If your webcam automatically turns on and you do not want it on, click the “Stop Video” icon in the bottom left of the window.  (see images below)

  • Conduct the meeting in real time. In many cases, an individual may want to share their screen to help drive the conversation.  To do this, view the instructions on how to share your screen.

  • When your meeting is complete, click the red “End Meeting” text in the bottom right hand corner of the meeting window. (see image below)

  • Click the “End Meeting for All” button to close the meeting. (see image below)
